Booking Terms and Conditions - 2024

Payment of Booking Deposit

Snowy Mountains Motor Inn (SMMI) requires a Booking Deposit of $1,000. Schools also have an obligation to adhere to the Booking Conditions and agree to pay the cancellation fees as set out below. To avoid such fees, Schools/Organisations need to establish their commitment to the program early and secure relevant organisational information in advance. 

 

Cancellations Fees

Due to the inability to fill reservation space left by late cancellations, Cancellation fees are essential. We understand the difficulty in finalising details but it is critical for Schools/Organisations to collate this information early to ensure no fees are charged. Change in numbers does NOT constitute any cancellation fees BUT it could result in additional costs of the excursion. Group booking demand during winter is extremely competitive and large drops in numbers / last minute cancellations means the motel can potentially run at significant losses.  
20% OR GREATER drop in numbers within 8 weeks prior to travel date will incur a 50% fee for each cancelled student below the 80th percentile. 

e.g., a group booking of 100 people that drop to 75 within 8 weeks of travel will incur a fee of (100-75) = 5 x 50% of the room rate.  

Cancellation period                                   

More than 20 weeks 

Between 20 to 15 weeks prior to arrival 

Between 15 weeks and 10 weeks prior to arrival 

Between 10 weeks & 8 weeks prior to arrival  

Between 8 and 6 weeks prior to arrival  

Within 6 weeks of arrival 

All cancellations must be provided in writing.

Cancellation fee

FULL REFUND of deposit 

Loss of deposit / or $1000 if no deposit paid 

10% of total trip booked according to the Confirmation Details 

30% of total trip booked according to the Confirmation Details 

50% of total trip booked according to the Confirmation Details 

full amount of the trip must be paid according to the Confirmation Details 

Notice of Liability

The School/Organisation agrees to: 

  • accept responsibility for damages caused by the group during their stay 

  • abide by the conditions of payment, including the cancellation policy as detailed above 

  • ensure that any children in the group are supervised at all times as a requirement of their Duty of Care 

  • Please note: Allergies are serious issues and should be treated in the same manner as medications. Whilst we attempt to accommodate special diets and allergies where possible, the ultimate duty of care remains with the accompanying teachers to ensure they receive the correct food. As we do not know the children, it is the teacher’s or the accompanying parent’s responsibility  

to ensure the students receive the correct meals. If you are worried about your child, we are more than happy for you to send special food / meals with them, but we take no responsibility for administering these special foods.  

 

General Obligations

The School/Organisation agrees to return the appropriate information by the required date:

Refund

If participant numbers decrease after payment or prior to departure at late notice, SMMI will provide a refund wherever possible on application. A refund is conditional on venues, attractions or third parties providing a refund for the reduction in quoted numbers and not Charging SMMI. No refunds can be given within 2 weeks of the arrival date. Students should take out travel insurance if this is a concern. 

 

Disclaimer

To be agreed by an authorised person from the Travel Agency or travelling group: 

I hereby warrant SMMI that I am authorised to enter into this agreement and as such accept full responsibility for the School/Organisations adherence to the Booking Conditions 

 

I HAVE READ AND UNDERSTAND THIS AGREEMENT AND I AGREE TO THE TERMS AND CONDITIONS
